A step-by-step guide on how to join your video call, navigate the waiting room, and manage session controls. This article also covers the mandatory Photo ID requirement for appointments with Vida Medical Providers (Physicians and Nurse Practitioners)
1. Pop-up alert
When opening the app, you may see a pop-up window notifying you that your call with your coach is starting soon. Tap Join Call to enter the waiting room, or tap “I’ll join in a few minutes” if you’re not ready yet.
2. Appointments section from the Home Screen
Navigate to the Appointments section on the Home Screen. You’ll see your next appointment details at a glance. The Join Call button will be greyed out until 10 minutes before the appointment start time.
⚠️ Important Requirement for Medical Appointments If your scheduled session is with a Vida Medical Provider (Physician or Nurse Practitioner), you must present a valid government-issued Photo ID at the start of the video call.
Who this applies to: Visits with Physicians (MD/DO) and Nurse Practitioners (NP).
When: This is required for every video session, even if you have seen the provider before.
Please have your ID ready and ensure you are in a well-lit area before tapping Join Call.
Tap View Details to review full details about the upcoming appointment. You can also add to Calendar or Edit Appointment from this screen.
Ten minutes before your visit, the Join Call button will become available (turn blue). Tap it to enter the waiting room.
3. The Waiting Room
Remain in this waiting room until your provider joins the call. When they join, you’ll hear a “doorbell” sound and will be taken directly to the video session.
If you’re not in the waiting room at your session start time, your coach will notify you to join the call. This will come in as a banner notification. Tap the checkmark to enter or “X” to decline.
4. Video session experience (Android Users)
Manage active call while away from app You can manage your active call after leaving the app by swiping down from the top of your screen to open your notification shade. Tap Return to Call to return to the session, or tap Hang Up to end the call.
Session controls While on the call, you have a few controls at your fingertips:
Turn Camera On/Off
Microphone On/Off
Toggle Speaker source
End Call
Share Screen - share what’s on your screen with your coach.
Fill Screen - bring your call window to full screen.
5. How to check in before your next session
Within 24 hours of your next call, you’ll see a button to check in. Tap to begin the check-in process.
You will be taken to a list of required and recommended items to complete.
Note: If this is a Medical visit, verify you have your Photo ID ready.
Please take a moment to complete these items. You'll see a green check mark to confirm you completed them.
Last, you’ll be asked to confirm the appointment scheduled. Once you review the appointment details, tap Confirm Appointment.
You’ll receive confirmation on the next screen that your check-in is complete. You can now join the call when ready.
